1. Booking Confirmation

A booking will be considered confirmed only after receipt of the agreed advance payment.

Confirmation of hotels, vehicles and other services is subject to availability at the time of booking.

The itinerary and services mentioned in the booking confirmation will be considered the agreed scope of the package.

The customer is responsible for checking the names, travel dates, number of passengers, hotel category, pickup/drop locations and itinerary details before making payment.

2. Payment Terms

The booking advance must be paid within the agreed time to secure the reservation.

The remaining balance must be paid as specified in the booking confirmation, normally before of the trip.

If the balance payment is not received within the agreed period, the agency reserves the right to cancel the booking subject to applicable cancellation charges.

Any additional services requested after booking will be charged separately.

3. Hotel Accommodation

Hotels will be provided according to the category and property mentioned in the booking confirmation.

Hotel check-in and check-out will be according to the hotel's standard timings.

Early check-in and late check-out are subject to hotel availability and may involve additional charges.

Room allocation, views, floor preferences, adjoining rooms and other special requests are subject to hotel availability and cannot be guaranteed.

In case a confirmed hotel becomes unavailable due to circumstances beyond the agency's control, the agency may provide accommodation of the same or similar category.

Any difference in cost resulting from a customer-requested upgrade will be payable by the customer.

4. Transportation

Transportation will be provided according to the vehicle category specified in the booking confirmation.

The vehicle will be provided for the itinerary mentioned in the package and not for unlimited personal use.

Any additional sightseeing, route deviation, waiting time or extra usage may attract additional charges payable by the customer.

The vehicle type may be changed to an equivalent vehicle when required due to availability, road conditions, mechanical problems or other circumstances.

In mountainous areas, certain roads and destinations may have restrictions on vehicle types. Local/shared vehicles may be required where mandated by local authorities.

The driver is responsible for driving and transportation and is not necessarily a tour guide.

5. Driver & Vehicle

Drivers are assigned based on availability and operational requirements.

Customers are requested to cooperate with the driver regarding permitted routes, parking locations and safety requirements.

Drivers cannot be required to drive beyond legally permitted working hours or on unsafe roads.

The agency will not be responsible for delays caused by traffic, road conditions, weather, landslides, road closures, vehicle restrictions or government regulations.

6. Sikkim Permits & Restricted Areas

Certain areas of Sikkim require permits and are subject to government/local-authority regulations.

Entry to destinations such as Gurudongmar Lake, Yumthang Valley, Zero Point, Nathula Pass and other restricted areas may depend on permits, weather, road conditions and government restrictions.

The agency will make reasonable efforts to arrange applicable permits based on the documents provided by the customer.

A permit or booking does not guarantee entry if authorities subsequently restrict access.

The customer must provide valid identification and other documents required for permits within the requested time.

7. Passport, ID & Travel Documents

Customers are responsible for carrying valid identification and all documents required for their journey.

Foreign nationals may be subject to additional permit and documentation requirements.

The agency is not responsible for consequences arising from incorrect, expired or missing documents supplied by the customer.

8. Itinerary Changes

The itinerary is prepared based on expected road, weather, hotel and sightseeing conditions.

The agency reserves the right to modify the sequence of sightseeing or routes when necessary for operational, safety, weather, road or government-related reasons.

Any such change will be made with the objective of providing the closest practical alternative.

Sightseeing points may be skipped or replaced if access is restricted or conditions make travel unsafe.

No refund will be payable for an attraction that cannot be visited due to circumstances beyond the agency's control.

9. Weather, Landslides & Road Conditions

Sikkim and Darjeeling are mountainous destinations and road conditions can change unexpectedly.

The agency will not be responsible for delays, missed sightseeing, additional accommodation or transportation costs caused by:

Landslides
Heavy rain or snowfall
Floods
Earthquakes
Road closures
Traffic congestion
Government restrictions
Natural disasters
Vehicle restrictions
Other circumstances beyond the agency's reasonable control

The agency will assist in arranging reasonable alternatives wherever possible, subject to availability and additional charges.

10. Customer Delays

Customers are expected to report at the agreed pickup time.

Delays caused by the customer may result in missed sightseeing or additional vehicle/waiting charges.

If a customer misses a scheduled service due to personal delay, no refund will be provided.

11. Meals

Meals are included only where specifically mentioned in the booking confirmation.

Any meal missed voluntarily by the customer is non-refundable.

Room service, beverages, special meals and items are not included in the package will be payable directly by the customer.

12. Sightseeing

Sightseeing will be provided according to the confirmed itinerary and local operating conditions.

Entry tickets, activity fees, camera fees, parking fees or other charges cannot be included in the package.

Attractions may be closed without prior notice by the relevant authorities or management.

The agency cannot guarantee specific weather conditions or visibility at viewpoints.

13. Personal Belongings

Customers are responsible for their luggage, valuables, documents, electronic devices and personal belongings.

The agency and its service providers will not be responsible for loss, theft or damage to personal belongings.

14. Health & Medical Conditions

Customers should ensure that they are physically fit for the planned itinerary.

High-altitude destinations such as North Sikkim may involve significant altitude and challenging road conditions.

Customers should consult an appropriate medical professional if they have concerns about travelling to high-altitude destinations.

The agency is not responsible for medical expenses or consequences arising from pre-existing or undisclosed conditions.
